Completing the calendar submission form

Confused about what information to include in your event submission? Here's a list of what information to include. If you still have questions, please contact the calendar team by e-mail or by (319) 398-8320.



  • Your Contact information
    The Name and e-mail fields at the top of the form should contain information about the person submitting the event. This information won't be published on the calendar, but we'll use it to follow up with any questions or to track down missing information.

  • Event details

    Title field
    Use this field to tell us the name of the event.

  • Description
    Use this area to provide a short summary about the event. Our calendar team will shorten summaries and make them appropriate for printed versions of the calendar. You can use the text editor to add links to the text.

  • Event date
    This field is the date which the event takes place. If you're entering an event which recurs over a period of time, this would be the first incident of the event, or the first time the event takes place. The recurrence pattern will be entered a few fields down.

  • Start time and end time
    The start time and end time are the starting and ending time of the event. The numbers can be entered by highlighting the information in the field and typing the numbers manually. You don't need to click the up and down arrows to adjust the hours or the minutes. While we don't always use end times in printed calendars, we should enter ending times, when known, because the calendars appear online. You don't need to predict end times for public meetings, but you do want to make sure we have them for things like job fairs. If you don't have a specific end time, be sure to check the checkbox, otherwise whatever time is entered in the end time would appear in the calendar listing.

  • Entering an all-day event
    If an event is an all-day event on the calendar, you'll need to check the override event times checkbox in order to activate the all-day event option.

  • Cost
    You can tell us the cost for a specific event. This field is a text field and can except things like "Tickets are $5 in advance, $10 at the door." If there is no cost for an event, please type "Free"

  • Event recurrence
    Have an event that occurs at the same time on a regular basis? You'll like the recurrence feature. In order to activate the recurrence option, you need to check the event recurring checkbox and then choose the appropriate pattern.

    Something to watch for: If you're entering information for a production which starts at 8 p.m. every night, except for Sunday, when it starts at 1 p.m., you'll need to add the exception to that recurrence separately.

  • I've got an idea to improve the calendar....who do I tell?

  • Event Registration
    Do not use this area. If registration is required to an event, please note that in the summary.

  • Categories
    The categories area allows you to categorize your event with as many categories as appropriate. The calendar team will be reviewing calendar entries to make sure publicly submitted events have been categorized appropriately. We use these categories to build calendars for printed products, such as The Gazette and Hoopla.

    You can also create your own RSS feeds and receive calendar information automatically by clicking on the RSS tab above.

  • Location Information
    The location information area is the place where the event location is entered. You can enter the first four letters of a location into the Name Search field to see whether it has been used in calendar listings previously and can be selected by clicking on the empty circle next to the appropriate choice. This will autofill the remaining location fields.

    You can also enter the location information the old fashioned way by using the fields below the Name Search field. Be sure to complete the street address, city and state, fields, even if it won't be used in print, because online users will be able to get mapped directions directly from the calendar listings.

  • Event contact information
    Use these fields to tell the public who or how to find more information. This information will be published in printed calendars and will appear online.

  • Messages for administrator
    Use these fields to provide additional information to the calendar team. In order to include it, you must check the checkbox to include it. If you have specific questions, please contact the calendar team.
